Data Retention Schedule Generator — Free Record Retention Policy Template

Every business keeps records, but few know how long each type should be kept. Keep them too short and you can break the law. Keep them too long and you pay for storage and carry extra risk. This tool builds a record retention schedule for a US business. Enter your company name, then tick the types of records you keep. The schedule lists how long to keep each one, the rule or practice behind that period and how to dispose of it when time is up. Records are grouped by area, from finance and HR to CRM data, SOPs, project files and IT logs. You can copy the schedule as text or download it as a CSV to finish in a spreadsheet. The periods are common US federal minimums and widely used practice, not legal advice. It is a strong starting point for owners, office managers and compliance leads writing their first policy.

Frequently Asked Questions

What is a data retention schedule?

A data retention schedule is a list of every type of record a company keeps, how long it must be kept and what happens to it after. It helps you meet legal rules, cut storage costs and lower risk by not keeping data longer than needed.

How long should a business keep records?

It depends on the record. In the US, tax records are commonly kept 7 years, payroll records at least 3 years, Form I-9 for 3 years after hire or 1 year after termination, whichever is later, and corporate records such as bylaws and minutes permanently. This tool lists common periods for each type.

Is there a legal requirement to have a retention policy?

Most US businesses are not required by law to have a written policy, but many laws set minimum periods for specific records. Regulated industries such as healthcare and finance face stricter rules. A written schedule also helps a lot if you are ever involved in a lawsuit or audit.

What is a legal hold?

A legal hold is an order to stop deleting any records that could relate to a lawsuit, investigation or audit, even if the retention period has ended. Your schedule should say that legal holds always override normal disposal.

Is this tool legal advice?

No. It lists common US federal minimums and widely used business practice. State laws, industry rules and contracts can require longer periods. Have your attorney or compliance advisor review the schedule before you adopt it.

Keep It Simple

A schedule only works if people follow it. Group records into a small number of clear categories, assign an owner to each and set one yearly date to review and dispose of expired records across the company.

Digital Records Count Too

Retention rules apply to emails, chat, cloud files and CRM data as much as paper. Many tools such as Microsoft 365, Google Workspace and Slack have built in retention settings. Set them to match your schedule.

Archive vs Delete

Not every record past its minimum should be destroyed. SOPs, project histories and QA records often keep their value for years. Archive records with ongoing business value in a secure, organized place and delete only what no longer serves a purpose.

Old Records Can Be an Asset

Well kept archives of processes, projects and support history are useful for training, internal AI tools and even licensing to AI companies, which pay for real business data after personal details are removed.
