Every email, chat message, document and support ticket adds to your company knowledge. Over a few years it becomes a very large archive. This calculator estimates how big it is. Enter your number of employees and years in business, then adjust the daily habits if you know them. The defaults use common office averages, so you can also leave them as they are. The tool shows the total words your team has written, the number of pages that would fill, the size in AI tokens and the space it takes as plain text. A breakdown table shows which source holds the most knowledge. How much data does a company create?
A typical office worker writes around 1,500 to 3,000 words a day across email, chat and documents. A company with 50 people creates tens of millions of words a year. Over five or more years, that adds up to hundreds of millions of words of internal knowledge.
How many words is one page?
A single spaced page with normal margins holds about 500 words. A double spaced page holds about 250. This calculator uses 500 words per page.
What is an AI token?
A token is a piece of text that AI models read, usually part of a word. In English, 100 words is about 133 tokens. Data deals and AI usage are often measured in tokens, so it is a useful way to size a dataset.
How much storage does text data take?
Plain text is small. One million words take about 6 MB of storage. Even a large company archive of 500 million words fits in about 3 GB as plain text, though the original files with attachments and formatting are much larger.
Why would I want to know my company knowledge volume?
It helps you plan internal search, AI assistants, document migrations and backups. It also tells you whether your archive is large enough to interest AI data buyers, who look for companies with years of well kept records.
Where the Defaults Come From
Office workers send around 20 to 40 emails a day and post dozens of chat messages. Emails average about 100 words and chat messages about 15. Meeting transcripts run near 7,500 words an hour at normal speaking speed. Change any value to match your team.
Not All Words Are Equal
Short chat replies make up a large share of the total but hold less lasting knowledge. SOPs, project write ups and solved tickets are smaller in volume but much richer. When you plan a search tool or a data project, start with the high value sources.
