When every person names files their own way, shared drives turn into a mess. People cannot find documents and old versions get sent to clients. A naming convention fixes that, and this tool helps you build one in a few minutes. Choose which parts go into a file name, such as the date, client, document type, description and version. Turn parts on or off, move them up or down and pick the date format, separator and letter case. The tool shows a live example, the pattern to share with your team and a short set of written rules you can paste into your policy. You can also paste a list of descriptions to create many file names at once. It is made for office managers, operations leads and IT teams setting up shared drives, SharePoint or Google Drive.

Frequently Asked Questions
What is a good file naming convention?
A good naming convention is short, consistent and easy to sort. A common pattern is date, client or project, document type, short description and version, such as 2026-03-15_Acme_Proposal_Website-Redesign_v02. Everyone in the company should use the same pattern.
Why put the date first in a file name?
Starting with the date in YYYY-MM-DD format makes files sort in time order in any folder. Other date formats such as 03-15-2026 sort by month instead of year, which mixes up years. The ISO 8601 format is also understood worldwide.
Should I use spaces in file names?
It is best to avoid spaces. Some systems, links and scripts break on spaces or turn them into %20. Use underscores between parts and dashes inside a part, or use CamelCase so each word starts with a capital letter.
How do I show versions in file names?
Add a version at the end such as v01, v02 and so on, with a leading zero so they sort correctly. Some teams add FINAL or a status tag, but a version number plus a status column in your system is more reliable than the word final.
How do I get my team to follow a naming convention?
Write the rule down in one short page with examples, store it where everyone can find it and use this tool to share the exact pattern. Make it part of onboarding, and fix names during reviews until the habit sticks.
Most Important Part First
Put the part people search or sort by most at the front. For dated records like invoices and meeting notes, that is the date. For client work, many teams start with the client name. Choose one and stick with it across the company.
Keep It Short
Long file names get cut off in folder views and can break on some systems, especially when folders are nested deep. Aim for 60 characters or less. Use short codes for departments and document types if you need to save space.
Folders and Names Work Together
File names should still make sense when a file is emailed or downloaded out of its folder. That is why the client and document type usually belong in the name, even if the folder already shows them.
Organized Files Are Worth More
Clean, consistent names make documents easy to search, migrate and reuse. They also make your company records far more useful for internal AI tools, audits and data licensing, where buyers value well organized business documents.
